Head of Operations
HUBweek is designed to showcase, connect and empower change-makers and the curious in Greater Boston. Now is your chance to be a part of developing and managing this one-of-a-kind signature event.
HUBweek is seeking a Head of Operations to join our team in early 2016. We are a growing start-up organization, building off a successful 2015 launch, looking for an enterprising, experienced, creative team member.
HUBweek is an annual weeklong celebration of innovation and creativity, comprised of events organized and produced by HUBweek staff; events organized and produced by our four founding partners (The Boston Globe, Harvard University, Mass General Hospital, and MIT); as well as events hosted by collaborating organizations and companies throughout the Greater Boston region.
The Head of Operations will work closely with the Executive Director, Board Chair and other team members to help design the overall event structure and experience, and manage the various event stakeholders. The Head of Ops will also be responsible for production of HUBweek events; serve as the primary contact and liaison with HUBweek partners on their events; and oversee the financial operations of the HUBweek organization.
The Head of Ops has some specific responsibilities listed below but ultimately all of our work is designed to support the mission of showcasing, connecting and empowering change-makers in Boston.
Responsible for event logistics, including:
Design and implement an event ticketing system, including pricing, technology and integration capabilities.
Determine logistical needs for central event hubs, including permitting, space considerations, transportation and A/V production.
Contract and manage necessary vendors to operate those hubs.
Oversee production of HUBweek-produced events.
Manage contracts, invoices and payments for HUBweek.
Ensure consistent event signage, wayfinding and look-and-feel across all HUBweek branded events: be part of the design of materials, determine needs across the event, deliver materials and retrieve them as needed.
Oversee the internal financial operations of the organization.
In short, make the trains run on time – – and pick up new responsibilities as they arise.
Qualifications:
Proven event production experience, including familiarity with online ticketing platforms and experience managing vendors and venues.
Demonstrated ability to manage projects on tight budget and firm deadlines.
Strong interpersonal skills, with a track record of effective partnership with a variety of stakeholders, colleagues and business partners.
Ability to manage multiple work streams across several departments.
Comfortable in a flexible and fluid work environment, with a willingness to take on new challenges and responsibilities.

Marketing Communications Associate
Are you a rock star marketer who believes in the future of Boston?
HUBweek is looking for a Marketing Communications Associate to join our team in early 2016. We’re a growing startup organization, building off a successful 2015 launch. HUBweek is seeking an entrepreneurial, strategic and creative marcomm associate to participate in the unique opportunity of building and driving the HUBweek brand and experience.
The Marketing Communications Associate will work closely with the Head of MarComm and other team members to develop and execute initiatives that build awareness of the HUBweek brand, as well as drive event registrations. The marcomm associate will be responsible for coordinating communications outputs across HUBweek, founder and partner channels. A primary responsibility will be spearheading content strategy and development across all HUBweek owned platforms.
Responsibilities include, but are not limited to:
Content strategy & development
Participate in the strategic development of the digital voice and content strategies across HUBweek owned properties (social, email, web)
Develop and maintain content calendar, continuously gather and improve content to increase audience size and engagement, concept and work with designer on post development
Manage email list and draft regular newsletters and updates to different groups of stakeholders
Manage blog —contribute to brainstorming topics for upcoming content articles and posts; write and edit articles as needed; coordinate guest writers
Oversee event and speaker content gathering process for HUBweek.org
Measure and monitor digital activity – identify what works, suggest new actions and adjust communications tactics as appropriate
Media relations
Serve as one of the primary contacts for media requests, coordinate access to executives & speakers, manage media contacts, pitch outwardly facing press stories as needed
Help create and organize written media materials, including game day notes, press releases, media advisories and announcement schedule
Assist with game day media operations, including credentialing, media check-in
Filter all incoming press articles and grab quotes for website, presentations, etc., track all media hits on weekly basis
Campaign management & account coordination
Assist in implementation of marketing strategies for identified segments, as well as day-to-day management of agency partners
Coordinate development of HUBweek partner and collaborator materials, track partner marketing efforts
Competitive analysis and monitoring
Triage incoming media opportunities; assist in identification and research of new opportunities
Attend promotional events as HUBweek representative
Organize and track all marketing materials and programs
Qualifications:
1-3 years experience in marketing, PR, advertising or content management role
Ability to manage projects from conception to completion on time and on budget
Strategic thinker with creative problem-solving and impeccable persuasive writing skills
Self-starter who can work independently and excel in a fast-paced and iterative setting
Second-to-none work ethic and incredibly detail-oriented
Solid understanding of digital marketing, including social, email and database marketing
Exceptional communication and relationship management skills
Passion for the HUBweek mission
